There is no arguing that today’s trade shows and conferences wouldn’t be the same without mobile devices such as iPads and smart phones. But where are all those devices coming from and what do you have to keep in mind? Denis Vigo, founder of @Choose2Rent stopped by to answer those questions with 3 simple tips:

Keep your personal information personal.
Everybody is using iPads and smartphones on a daily basis. If you use your devices at public events, make sure that the notifications are turned off so personal information won’t be visible. Imagine you are capturing a lead or at your iPad check in with an attendee and you’re suddenly interrupted by a message from your loved one displayed on the screen. Yikes!
There is an easy fix for this: rent an iPad or other smart device! Rentals don’t need to be backed up before the event, and they certainly won’t store or display any personal information.

Ship your equipment early and insured.
A whopping 90% of event planners have to travel to their event, requiring an additional challenge of planning to get the iPads to the event. Can you take 10 iPads on a plane? Yes, but not in your carry-on!
If you read the fine print of the airlines luggage policies, you’ll see that technical equipment won’t be insured if it’s placed in the luggage. Factor in weight restrictions, and let’s not forget that most of us some when experienced lost or damaged luggage; so the best option is to ship your equipment.
Now we have to surrender our personal devices to the shipping company a couple of days before the event? Most of us won’t survive a couple of days without our tablet. Tell your device rental supplier when and where you need the devices sent to and they will make sure that everything arrives in good condition and on time.

Set up your equipment the right way.
Let’s say you want a wallpaper with your company or event logo, all unnecessary apps stored away from the home screen, and pre-set Wi-Fi connection to the venue’s wireless network (or your mobile hotspot). In most cases, you’ll need special apps for your event: an attendee or conference check in app, lead retrieval app, survey app, icons that bring you directly to a specific webpage.
Maybe you’d even like to activate the kiosk mode to restrict access to the iPad or disable the home button. That all sounds feasible, but what if you have to do this with multiple devices?
