How Exhibitors & Attendees Can Maximize Their Meetings: An #IMEX17 Review

Months of emailing, phone calls, travel plans, and so much more go into preparing for a trade show, especially one like IMEX Frankfurt. The powerhouse international event held in Germany (and in Las Vegas) is one not to miss for finding out the latest in technology, travel, and event inspiration for both the attendees looking for it and exhibitors aiming to promote it.
Time is the most valuable asset there is and whether attending or exhibiting, IMEX requires a lot of it, but how can both attendees and exhibitors make the most of their time? Whether winding down from #IMEX17 in Frankfurt, gearing up for the Las Vegas, or heading out to another event, here are some key pointers to keep in mind to get the most out of the entire trade show lifecycle.
For Attendees
1. Map out appointments based on priorities and proximity.
The trade show floor for IMEX Frankfurt is particularly large as it’s hosted in the world’s largest trade fair. Map out the day according to your agenda and appointments, leaving time for lunch or one of the networking events held at participating stands. This helps avoid the rush and breaks up any monotony while making sure you arrive at your appointments in a timely fashion without feeling hurried.
2. Know the challenges you want to address and prepare to ask tailored questions on how to solve them.
There are many options at every nook around the trade show. Some might seem silly and some might be over-the-top, but even those that catch your eye might not be the best fit. Find what’s practical for your organization and budget by knowing the objectives you’d want to achieve with the product and/or service.
3. Create a system to organize research and findings.
Do what works for you by using resources available to you, but try to keep a “minimal is better” mindset that will also encourage you to stick to the important details. Going digital is a lot easier than carrying around a bulky binder or bundles of loose flyers with notes taken in any tiny blank spaces. Use a shorthand form of taking notes, color code, and categorize according to industry, service, and even ratings on how you see the conversation going for post-event follow up.
4. Join education sessions.
World-renown speakers and educators participate at IMEX and there’s a high level of combined expertise at the show. Take advantage of this inspirational and educational setting by attending seminars, workshops, and sessions - including those at participating stands - that could better your understanding in your current position. They’ll provide fresh ideas to optimize your business/services upon your return to the office.
5. Make time to enjoy yourself!
There are a variety of fun activities, from the #IMEXRun to numerous “parties” celebrated at certain stands. It’s even nice to network with vendors and other attendees staying for the trade show to further arrange plans beyond the show, or even somewhere more local to you.
For Exhibitors
1. Host or participate in education sessions.
Attendees are there not only to learn about what vendors are offering but how to take their role or business services to another level. Other exhibitors are also looking to gain perspective and insight on new and interesting findings. What better place and time than use the trade show as a stage to share your industry know-how, trend reports, and other news or updates?
2. Actively listen.
As important as it is to ask the right questions, those visiting your booth have taken the time to research the best options to reserve appointments. Especially avoid distractions like emails, phone calls, and other tasks: don’t think of business missed or things you have to do, but reserve just a few minutes before, after, or during your show lunchbreak to tend to these things. It’s very easy to get caught up in the action and even excitement in “pitching” all that you can offer, but do your best to be present with whoever you’re speaking with.
3. Demonstrate flexibility and professionalism.
Sometimes appointments run late or cannot make their appointment. Have an efficient way to take notes and remember the conversation for easy post-event follow up (here’s where an effective lead retrieval service would come in handy), regardless of whether they arrive or not. Be courteous and keep your space neat and tidy for each and every visitor, perhaps with a place for them to sit or temporarily house their materials while at your stand.
4. Make friends with your neighbors.
Chances of needing an actual cup of sugar are slim, but it’s always sweeter when everyone can work together. Get to know your neighboring exhibitors who are sharing the same space as you. Have a basic idea of what they do, where they come from, etc. to keep the conversation going and even further the networking at the event. What you know and who you know can take your business building to another level.
5. Hydrate!
You’ll be on your feet for most of the day, talking and moving about your stand with potential clients. Spending the majority of this way inside of the exhibition center can take a toll on your overall wellness. Be mindful throughout the day by staying hydrated, perhaps even purchasing extra water and/or cups to invite stand visitors to do the same.
